Type of Grants: Our organization will provide grants to emergency veterinary clinics. These grants will be used to cover the cost of life-saving surgeries for animals, provide emergency medical care in the wake of natural disasters, and assist families who are unable to afford essential veterinary care due to financial hardship.

Purpose of Grants:

  • To ensure that animals receive timely and life-saving medical treatment, especially in cases where the cost of care would be a financial barrier.

  • To assist animals rescued during natural disasters.

  • To support families who cannot afford the necessary veterinary care for their pets, preventing unnecessary euthanasia or suffering due to financial distress.

Selection of Recipients

How We Select Recipients: Recipients of our grants will be selected based on several key factors:

  1. Eligibility Criteria:

    • The recipient must be a registered organization (e.g., emergency veterinary clinic, animal rescue, shelter) or a recognized entity providing direct care to animals.

    • The organization must demonstrate a clear need for financial assistance due to emergency circumstances (life-saving surgeries, disaster relief, or families in distress).

    • The recipient must provide documentation of the case, including the animal’s medical needs, and the costs associated with treatment or care.

  1. Submission Requirements:

    • Organizations and individuals seeking assistance will need to submit a grant application that includes:

      • A detailed description of the animal's condition and the required treatment (for surgeries or medical care).

      • A cost breakdown for the surgery or emergency medical expenses.

      • Proof of financial need (for families or organizations facing financial distress).

      • A letter or statement from the veterinarian or emergency clinic detailing the urgency of the treatment.

      • For organizations providing disaster relief, documentation of the natural disaster and its impact on animals.

  1. Criteria for Selection:

    • The urgency and life-saving nature of the request.

    • A good prognosis is expected by the attending Doctor or the animal was in a natural disaster.

    • The financial need of the recipient (e.g., whether they can cover the costs themselves).

    • The credibility and legitimacy of the organization or family requesting assistance.

    • The transparency of the recipient organization (whether they have a clear process in place for using funds as intended)

Ensuring Funds Are Used for Intended Purposes

Ensuring Proper Use of Funds: To ensure that the grants are used for their intended purposes, the following measures will be in place:

  1. Use of Funds Reports:

    • We will require periodic reports from recipients (especially organizations) on how the funds were used. These reports must outline the expenses incurred for the treatment or care of the animal(s) and provide receipts or documentation for any payments made.

    • Final Reports: After the funds are disbursed and used, recipients will submit a final report detailing the outcome of the treatment and how the funds were spent.

  1. Follow-Up:

    • We will conduct follow-up checks, especially for high-value grants, to ensure that the funds were indeed used for the animal’s care. This could involve speaking directly with the veterinary clinic or shelter providing the treatment or even receiving photographic or written updates on the animal’s recovery.

  1. Procedure for Misuse of Funds:

    • If it is discovered that the funds have not been used for the intended purposes (such as being spent on non-animal-related costs), we will follow a formal procedure, which may include:

      • Requesting an immediate return of the funds.

      • Revoking future eligibility for grants.

      • Reporting to the appropriate authorities if necessary; especially if the misuse of funds is intentional or fraudulent.

Record-Keeping and Transparency

Records Kept: We will maintain detailed records of all grants, loans, or other distributions made, including:

  • Grant application forms submitted by recipients.

  • Reports from recipients detailing how the funds were used and the outcome of the treatment.

  • Receipts and invoices submitted as proof of expenditure.

  • Communication records with recipients regarding fund disbursement and use.

These records will be securely stored for a minimum of 5 years to ensure transparency and accountability.

Relationships with Recipients

Recipient Organizations and Relationships:
While we strive to maintain an arm’s-length relationship with grant recipients to ensure objectivity in our funding process, we may develop ongoing partnerships with certain organizations or clinics that consistently provide essential services to animals in need. However, no financial or personal conflict of interest will exist between our charity and the recipients.

In sum, our process for making grants, loans, or distributions ensures that all funds are used for their intended purposes and that the recipients are properly vetted and held accountable for the proper use of funds. We aim to provide timely and necessary support to organizations and individuals working in emergency animal care, ensuring that every dollar contributes to the well-being and survival of animals in dire need.
